A remarkable venue provides a strong starting point. For the Animal Ball at the Natural History Museum, the setting gave us an extraordinary backdrop. Yet even in a building with that much presence, the guest experience still needs to be shaped around the welcome and what happens next, creating that sense of excitement is key.

When planning arrival, we consider both atmosphere and movement. What will guests see first? Where will they be greeted? Can they collect a drink easily and find the people they have come with? It is a balance of logistics and design.

A venue can look perfect in photographs and still be challenging to make work for your gala.

During a site visit, we run through a list of key considerations to make sure the venue will work. We look at how the evening will unfold with guests in place. Reception space, dining layout, stage positions and entertainment all influence how the room will feel connected. We also consider the set up time for a gala event. We often bring a live event together within a very short set up time. Museums and galleries open to the public during the day require a dedicated and experienced team to turn things around quickly once the doors close, ready to greet guests, often just an hour later.

Capacity is particularly important. A venue’s maximum seated number may leave little room for the production or dance floor you have in mind. The proposed layout needs to accommodate the complete event and flow you want to create.

We also look at the transitions. Moving from reception into dinner can create a wonderful sense of anticipation, provided guests are guided clearly and the room is ready to receive them.

The venue should support the atmosphere you want, while allowing hospitality, entertainment and production to operate smoothly.

The host may have an excellent view of the stage, but what is the experience from the tables at the back or sides? Can those guests hear clearly, follow the programme and feel involved?

We consider this when developing the layout and running order. Screens, sound and sightlines need to support the audience as a whole. Table styling should allow guests to see and talk comfortably, while entertainment needs to suit the room and the people attending.

Engagement also means variation. Guests need opportunities to listen, watch, converse and celebrate. A long sequence of speeches can drain the energy, while constant performances leave little space to enjoy dinner or catch up with friends.
