A Day in the Life of a London Event Planner

Every day in the world of luxury events is different — that’s part of what I love most about my job. From high-profile galas and intimate celebrations to exclusive brand events, every project demands creativity, precision, and a touch of glamour. Here’s a peek into what a typical day looks like for me as a luxury event planner in London.

Morning: Inbox, Inspiration, and Intentions

My day usually starts early, coffee in hand, as I dive into my inbox. The first task is always to check and prioritise emails, from supplier updates and client requests to new enquiries. Luxury events often have many moving parts, so staying on top of communication is key. A catch up call with the team before taking a quick look at socials to keep an eye on industry trends, new venue openings, and design inspiration, as well as engaging with our community online. London’s event scene is vibrant and ever-evolving so staying connected is both inspiring and essential. Social media is a huge part of the ‘shop front’ for event planners so I spend some time on the next few social posts for Neon Touch, editing and tweaking

After that, it’s onto scheduled calls and planning meetings. These might include finalising a floor plan with a venue, discussing styling details with a florist, or catching up with a client on their vision. Each event is a collaboration, and these morning touchpoints set the tone for the rest of the day.

Afternoon: Lunch, Locations, and Logistics

Lunchtime often doubles as a meeting opportunity — whether it’s brainstorming ideas with a client or discussing styling concepts with a creative partner. These face-to-face conversations are where ideas really come to life.

The afternoon is usually spent on-site visits. Today, I’m visiting two of London’s most iconic venues, each with its own style and story. Walking through a space always sparks my imagination: picturing how lighting, florals, and layout will come together to create something truly memorable. It’s also the practical part- measuring spaces, reviewing access routes, and ensuring everything aligns with our vision and logistics so that we are fully prepped when planning with suppliers and discussing ideas with clients.

Evening: Showcases and Connection

The day doesn’t always end when the office lights go off. When possible, I will attend an event industry showcase — a chance to see the latest trends, meet new suppliers, and reconnect with fellow planners and creatives. These events are invaluable for staying inspired and building relationships within the industry.

Night: Reflection and Reset

After a full day of planning, meetings, and creative exploration, I’ll jot down a few notes, check tomorrow’s schedule, and then switch off for the evening.

It’s a fast-paced, detail-driven world, but it’s also deeply rewarding. Seeing a client’s vision come to life — and knowing every detail has been perfectly executed — makes every long day worthwhile, because in luxury event planning, it’s not just about creating beautiful events. It’s also about connection, relationships and inspiration.
